Swede Ship has a long tradition of shipbuilding and one of their yards har been building ships since the 1890’s. Swede Ship specializes in aluminium and steel production and has the capacity to build vessels up to 40-50m.Their main customer case includes public authorities, such as the Swedish Navy, Coas Guard, Martime Administration and the Sea Rescue Society.

During 202, Andreas Axelsson, leader at service and support – and Christian Leffler, project manager, have worked with the implementation of MaintMaster maintenance software at their plant.

Going digital with MaintMaster

When a customer’s boat or ship needs servicing, it will be sent to one of Swede Ship’s yards, where it will stay for two or three weeks. This means there is a clear deadline and the available time for maintenance tasks is predetermined. Andreas explains,

– Since the time we have to work with our customers’ boats and ships is limited, it is extremely important that we know what kind of maintenance tasks we need to perform and when. To facilitate planning, we need to know how much time we should allocate to different tasks.

Before MaintMaster, Swede Ship kept track of upcoming and completed maintenance activities with Microsoft Excel. As they have now started working with MaintMaster, they have the opportunity for greater collaborations between divisions. Christian continues,

MaintMaster maintenance software enables us to share information with the entire organization. To keep the system user friendly, we make sure divisions only see information relevant to them.
User friendliness is their focus area.

Andreas and Christian agree on the importance of keeping MaintMaster user friendly. Their ambition is that everyone working with maintenance will be able to document the work they have done – previously this information was only reported to project managers in conversation.

– For us, it is important that our colleagues find MaintMaster clear and easy to use. The goal is to make reporting self-explanatory, says Andreas.

A close cooperation

Andreas and Christian are responsible for and administrate MaintMaster maintenance software. Together with a MaintMaster project manager they have created a structure that suits their organisation.

Andreas continues,

– Every two weeks, we had an online meeting where we went through everything from how we work at our plant, to practical solutions in MaintMaster. Between these meetings, we often had a list with actions to complete until next time. It worked well for us.

A project without physical meetings

The implementation of MaintMaster was made 100% online, without any physical meetings. Of course, there are challenges with this. Mikael Törnqvist, responsible project manager from MaintMaster, are impressed by Andreas and Christian.

– I was impressed, they were always engaged and focused and that is not easy when participating in online meetings when the chances of getting distracted or losing focus are higher.

Mikael continues,

– MaintMaster is now live and all the time that Andreas and Christian have put into this project, will pay off. They have an exciting time ahead, and I am really looking forward following their journey.

Tip from MaintMaster Project Managers!

How to streamline implementation:

  1. Keep it simple. You don’t need to add everything in MaintMaster at once. Instead, you easily add more as you go along.

    1. Add an object and start reporting. If you want statics for specific parts update with them. For instance: Start by adding a car and report your maintenance work. Once you need the statistics for the engine, you can add it then.

    2. All items in your stockroom? Don’t worry. Simply add a spare part when you use it. In a few weeks (or months depending on the size of your stockroom), all items will be in MaintMaster.

  2.  Make time in your calendar. The time for when you will be working with MaintMaster between the scheduled meetings included in the project. To increase the probability of completing a task, it is a good idea to create an appointment in your calendar that only you can see. Naturally, you can reschedule this “appointment” if necessary.

  3. Be at least two people from your site that work with the project. Together can discuss the best way forward and find solutions that work for your entire organisation. It is also important that more than one person knows about why you have built MaintMaster in a particular way.
